- At each level of study, each student/student has a so-called ‘mobility capital’ of 12 months. Within the capital, it is possible to go for both studies and traineeships. There is no limit to the number of mobilities, but the total duration of all mobilities cannot exceed 365 days.
- The minimum duration of a study mobility is 2 months (60 days).
- Recruitment for traineeships is continuous and is open all year round.
- The Erasmus+ programme is open to both full-time and part-time students.
- Traineeships can also be carried out after graduation – read more: Alumni mobility.
- You can withdraw from the mobility at any stage. The Office and the relevant faculty coordinator should be informed about the decision by e-mail.
- Traineeships carried out under the Erasmus+ programme may be counted towards the mandatory traineeships required in the study plan.
Recruitment for student/alumni mobility for traineeships lasts all year round. In order for the mobility to be possible, it is necessary to report to the Office with a set of signed documents and confirmation that the required formalities have been completed no later than 4 weeks before the planned departure.
The Office does not have a database of companies that offer traineeships for students under the Erasmus+ programme. A student applying for mobility must find a company related to their field of study on their own.
We do not require proof of foreign language proficiency for traineeships.
Documents and formalities required in the recruitment process:
- application for mobility for traineeships,
- Learning Agreement for Traineeships,
- confirmation of having the required insurance,
- sending a completed Transfer Form to the Office.
Step 1. Finding an institution
A student applying for mobility must find a company on their own. The institution hosting the student for a traineeship must be linked to the field of study. The minimum duration of a traineeship is 2 months.
It is possible to go for a traineeship to a foreign company/enterprise, a research institution, a non-profit organisation or other institution (museum, library, hospital, local or central administration unit, etc.). However, it is not possible to do Erasmus traineeships at the diplomatic mission of your country, at an EU institution or at an institution managing EU programmes.
Institutions that you cannot go to for a traineeship are:
- EU institutions and other EU bodies, including specialized agencies, a list of which is available on the website: europa.eu/european-union/about-eu/institutions-bodies_en;
- organisations managing EU programmes, such as Erasmus+ National Agencies (in order to avoid possible conflicts of interest or double funding).
Step 2. Preparing the documents necessary for mobility
Documents and formalities required in the recruitment process:
- Application for mobility for traineeships
Depending on whether the trip is carried out as a student or alumni, a relevant application for mobility for traineeships should be filled in. The application must be signed by the Coordinator at the faculty and delivered in the original to the Office.
- Learning Agreement for Traineeships
The document must be completed in agreement with the host institution. Among other things, the traineeship plan is included there. In case Erasmus+ traineeships are to be counted as mandatory traineeships planned in the course of studies, the traineeship plan should also be agreed with the traineeship supervisor at the faculty.
The Learning Agreement signed by 3 parties (the student, the faculty coordinator and the person responsible from the host institution) should be delivered to the Office.
- Insurance
Mobility for traineeships requires insurance for the duration of the traineeship:
- covering the costs of possible treatment abroad (it is, for example, an EHIC card),
- personal accident insurance,
- liability insurance.
Before signing the agreement, confirmation of having all the above insurances must be submitted to the Office.
- The filled-in transfer form in an editable version (word) must be sent to erasmus.studenci [at] pb.edu.pl

Step 3. Signing the financial agreement for mobility
After completing all the formalities in step 2, the student is contacted by email to sign the agreement in the Office. Within a maximum of 30 days after the signing of the agreement by two parties, the Erasmus+ scholarship is transferred to the account indicated in the transfer form.
Prior to the mobility, the student will receive 100% of the scholarship calculated for the entire mobility period. If all the formalities necessary to complete the mobility (upon return from mobility) are not fulfilled by the deadline indicated in the agreement, the student may be asked to return the scholarship received.
Step 4. Mobility
It is also possible to benefit from an Erasmus+ traineeship mobility after graduation. The prerequisite for such mobility is to have the status of a student at the time of signing the financial agreement for mobility.
If you wish to make use of this possibility, you must report to the Office with all the necessary documents no later than four weeks before your planned date of defence of your diploma thesis.
Graduates benefiting from the mobility must carry out and complete the traineeship within 12 months of graduation (taking the diploma exam). The period of alumni mobility is included in the ‘mobility capital’ assigned to a given study cycle.
In the Erasmus+ programme you can receive:
- main scholarship
- additional support
- lump sum for travel
The right to receive additional support is granted to students who have received a social scholarship at BUT in the academic year preceding their mobility and who hold a disability certificate.
Confirmation of receiving a social scholarship is verified at the Dean’s Office by the Office, students do not have to present such documents. Persons with a disability certificate must provide a copy of the certificate to the Office before signing the financial agreement for mobility.
Receiving an Erasmus+ outgoing scholarship does not result in the loss of the social scholarship received at BUT. Dean’s offices will pay a social scholarship, the Office pays a scholarship for a mobility under the Erasmus programme.

Within 30 days of signing the financing agreement by both parties, but no later than the start date of the mobility period or after BUT has received confirmation of arrival at the host university, an 100% of the scholarship will be paid to the Participant. If all the formalities necessary to complete the mobility (upon return from mobility) are not fulfilled by the deadline indicated in the agreement, the student may be asked to return the scholarship received.
MOBILITY OF STUDENTS WITH A DISABILITY CERTIFICATE
In addition to supplementing the basic Erasmus+ scholarship with the aforementioned additional support, persons with a disability certificate can apply through the Office for reimbursement of actual costs related to disability.Additionally awarded funding (in excess of the rates specified in the table above) during settlement will require documentation in the form of financial evidence. Costs should be economical and adapted to the real needs related to the type of disability.
LUMP SUM FOR TRAVEL
Every student going for Erasmus+ studies receives a lump sum for travel and two additional days of individual support for the duration of the journey if non-eco-friendly means of transport are used. Those who decide to travel (round-trip) using low-emission (green) means of transport must submit a Green Travel declaration to increase their lump sum for travel and receive up to six additional days of individual support for the travel period.

Attention! It is recommended to use low-emission means of transport for distances up to 499 km.
To receive the increased lump sum and additional financing days, a signed Green Travel Declaration for Traineeships must be filled out and submitted to the Office. The amount due is added and paid together with the main scholarship.
After returning from the exchange, proof of travel using ecological means of transport – tickets or Green Travel confirmation – CARPOOLING must be provided/sent to the Office.
Attention! the lump sum for travel is already included in the total amount of the scholarship for the mobility.
UPON ARRIVAL FROM THE TRAINEESHIP, YOU SHOULD:
- provide the Traineeship Certificate to the Mobility and International Agreements Unit,
- fill in the online survey, which will be sent automatically from the system to the university e-mail address,
- complete the online language test on the OLS platform (selected students),
- write a report on the stay and send it to the Office at erasmus.studenci [at] pb.edu.pl,
- send the completed table with data for the report to the Office: Data for the report
- provide the Office with a confirmation of the Green Travel (if applicable).
